Contact Forms

Onboarding & Contact Forms: When you submit our onboarding form, we collect the personal and business information you provide (Name, Email, Phone, Business Details). This data is used solely to fulfil our contract with you—specifically, to build and maintain your website.

Data Storage: This information is automatically synced to our secure Google Sheets and Google Drive folders for project management purposes.

Services Provided to Our Clients

When we host a website for a client, we act as a Data Processor. We process the personal data of our clients’ website visitors (e.g., via contact forms) solely on our clients’ instructions. The security and retention of that data are governed by our Terms of Business and our Client’s own Privacy Policy.


Third-Party Services

Spam Protection & Analytics: We use Google reCAPTCHA v3 to prevent spam. This service works by analysing user behaviour on our site. Your use of reCAPTCHA v3 is subject to the Google Privacy Policy and Terms of Use.

Payment Processing: Payments are processed securely via GoCardless. We do not store your full credit card or bank details on our servers.

Project Management: Google Workspace.

Hosting: Hostinger (Data stored in UK/EU) 

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Any images you upload via our onboarding form will be stored in our Google Drive and used exclusively for the design and content of your website.

Warwickshire Web Co acts as a service provider and does not monitor or take responsibility for the content or EXIF data of images uploaded by clients or their website users.

How long we retain your data

We retain your business information and project files for as long as you remain an active subscriber to our service. If you cancel your subscription, we will retain your data for 6 years for administrative and tax purposes before it is permanently erased.

Your Rights

You have the right to request a copy of the data we hold about you or request that we erase any personal data. This does not include data we are obliged to keep for administrative, legal, or security purposes.
